Overview

  • We are seeking a highly organized, creative, and tech-savvy Virtual Event Manager to plan, coordinate, and execute corporate events, conferences, and summits.
  • This role requires someone with strong event management experience, excellent communication skills, and the ability to manage multiple projects in a virtual environment.

Key Responsibilities
Event Planning & Strategy:

  • Collaborate with stakeholders to define event objectives, themes, and goals.
  • Develop and manage comprehensive event timelines, budgets, and project plans.
  • Research and recommend innovative virtual event formats, platforms, and technologies.

Vendor and Platform Management:

  • Evaluate and secure virtual event platforms that align with event goals.
  • Manage relationships with vendors, sponsors, speakers, and partners to ensure seamless event execution.
  • Negotiate contracts and monitor deliverables to ensure quality and cost-effectiveness.

Content and Program Development:

  • Work with speakers, panelists, and content creators to curate engaging agendas.
  • Coordinate session schedules, panel discussions, workshops, and keynote presentations.
  • Review and edit content for virtual platforms, ensuring alignment with branding and messaging.

Audience Engagement:

  • Develop strategies to maximize attendee participation and satisfaction.
  • Plan interactive features such as Q&A sessions, live polls, breakout rooms, and networking lounges.
  • Oversee attendee registration and communication, including invitations, reminders, and follow-ups.

Marketing and Promotion:

  • Collaborate with marketing teams to design and implement event promotional campaigns.
  • Monitor and analyze event marketing performance to optimize strategies.
  • Ensure consistent branding across all event-related materials and platforms.

Technical Management:

  • Oversee the technical setup, testing, and troubleshooting of virtual platforms.
  • Provide training and support to speakers, moderators, and attendees on platform usage.
  • Ensure a smooth event experience, addressing technical issues promptly.

Post-Event Evaluation:

  • Gather attendee feedback through surveys and analytics to evaluate success.
  • Prepare post-event reports, highlighting achievements, lessons learned, and areas for improvement.
  • Maintain detailed records for future reference and planning.

Qualifications

  • Education: Bachelor’s Degree in Event Management, Marketing, Communications, or related field (preferred).
  • Experience: 3+ years in event planning, with a focus on virtual or hybrid corporate events.
  • Technical Skills: Proficiency in virtual platforms (e.g., Zoom, Hopin, Airmeet) and project management tools (e.g., Asana, Trello).
  • Soft Skills: Strong organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  • Communication: Excellent verbal and written  communication skills, with the ability to engage diverse audiences.
  • Problem-Solving: Resourceful and solution-oriented, with the ability to troubleshoot in real time.
  • Flexibility: Willingness to work across time zones and adapt to changing requirements.

Additional Requirements:

  • Familiarity with corporate branding and audience engagement strategies.
  • Experience managing budgets and vendor relationships.
  • Ability to work independently and as part of a remote team.
