Job Description
- The Admin Assistant/Procurement Officer provides comprehensive administrative support while managing procurement processes to ensure the organization’s operational efficiency.
- This role requires a blend of administrative skills, attention to detail, and procurement knowledge to facilitate smooth day-to-day operations.
Responsibilities
Administrative Duties:
Office Management:
- Organize and maintain office files, records, and documents.
- Manage office supplies inventory, including ordering and restocking as needed.
Communication:
- Answer and direct phone calls, emails, and other forms of correspondence.
- Prepare and distribute internal and external communications.
Documentation:
- Draft, proofread, and edit correspondence, reports, and other documents.
- Maintain and update databases and spreadsheets.
Support to Executives / Teams:
- Provide administrative support to executives and other team members as required.
- Assist in the printing of documents for executives and other team members
- Assist the HR in carrying out administrative tasks.
Procurement Duties:
Vendor Management:
- Identify, evaluate, and select suppliers based on quality, price, and delivery terms.
- Maintain relationships with existing suppliers and negotiate contracts and agreements.
Purchase Orders:
- Create and manage purchase orders, ensuring accuracy and compliance with organizational policies.
Market Research:
- Conduct research to find potential suppliers and evaluate market trends.
- Analyze pricing and quality of goods and services.
Compliance and Documentation:
- Ensure all procurement activities comply with relevant regulations and organizational policies.
- Maintain accurate records of all procurement transactions and documents.
Skills:
- Proficiency in office software (e.g., Microsoft Office Suite, spreadsheets, and database management).
- Strong organizational and multitasking abilities
- Excellent communication and negotiation skills.
- Attention to detail and problem-solving capabilities.
- Knowledge of procurement processes and vendor management.
Qualifications
- A degree in Business Administration, Human Resources,Supply Chain Management, or a related field is preferred
- Minimum of 2 years of proven experience in similar role.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- The procurement officer must exhibit a high degree of integrity and professionalism in their purchasing decisions.
- Ability to work independently and as part of a team.
- High level of discretion and integrity when handling sensitive information.
- Strong time management skills and ability to prioritize tasks effectively.
